Inbox

The Inbox unifies conversations with suppliers across all your processes: the email threads of each quotation, the processed responses and, if your organization has it enabled, WhatsApp chats.

Working with conversations

  • It has two tabs: Procurement (quotation conversations) and Deliveries (PO tracking); the logistics role goes straight to Deliveries.

  • The red counter in the menu shows how many unread conversations you have.

  • Filter by buyer and search by supplier, code or content.

  • When you open a thread you see the whole exchange in order, including the emails the system sent (quotation requests, reminders, circulars) and the attachments (downloadable).

  • Reply directly from the platform, with attachments. The reply goes out through the configured email account and stays on the record.

Internal notes

When someone from your team takes part in a conversation, their contributions appear marked as internal and the supplier doesn't see them. It's useful for coordinating a response (is this price OK? do we accept this deadline?) within the context of the thread.

WhatsApp

Available if your organization has the WhatsApp channel enabled.

Suppliers who prefer WhatsApp can receive requests and respond through that channel; their messages come into the same inbox. Replying via WhatsApp is available within the 24-hour window from the supplier's last message.
