Knowledge base for your suppliers

If your organization has the supplier assistant enabled, you can upload your company's own documentation so the assistant uses it when answering your suppliers: payment terms, invoicing requirements, delivery locations and schedules, and any policy you keep repeating over email.

Where to upload

In your organization's admin panel, under Knowledge base. Only organization administrators can upload, replace or delete documents.

What can be uploaded

  • Only PDF files with selectable text (a scan without text won't work; export the PDF from the original document).
  • Up to 3 documents per organization, max 5 MB each.
  • Long documents: there is a content cap per file. If yours exceeds it, upload a summarized version with the essentials.

This is a deliberately small knowledge base: the idea is to load the essentials your suppliers always ask about, not a document repository.

Who can see it

Everything you upload is visible to all suppliers linked to your organization through the assistant. Don't upload confidential information or anything specific to a single supplier.

How the assistant uses it

When one of your suppliers asks the portal assistant something about your company (for example, "when are invoices paid?"), the assistant answers citing your documentation and naming your company. If the document doesn't cover the question, the assistant says so honestly — it doesn't invent policies.

Updating or deleting

Uploading a file with the same name replaces the previous one. You can also delete a document at any time; the assistant stops using it immediately.
